Status and payments
Order statuses, deposits and refunds, and what cancelling removes from your numbers.

Six stages of an order
An order starts as New. The deposit lands and you tap it to Confirmed. The sponge goes in the oven: In progress. The box is tied: Ready. Then Delivered. Cancelled is the way out at any point. Nothing moves by itself. The status is a note you keep, and it shows on the calendar and the dashboard.
- New to delivered in five steps
- Cancelled as the way out
- Changed with one tap on the order
- Shown on the calendar and the dashboard
Deposits and the balance due
Payment is unpaid, partial, paid or refunded. A 200 deposit on a 650 wedding cake is a partial payment of 200. The order then shows 450 still due, on its page and in the copy you send the client. Mark it paid and the balance is gone. The partial amount is dropped, not added to.
- Unpaid, partial, paid or refunded
- A deposit as the amount received so far
- Balance due on the order and the copy
- Paid in full once nothing is owed
Active until delivered and paid
An order leaves the active list only when it is delivered or cancelled and nothing is owed. The cake collected on Saturday with the balance promised for Monday stays active, soonest first, until you mark it paid. Money still due after the order’s date turns the balance red as overdue.
- Delivered but unpaid stays active
- Overdue when the date passes with money owed
- Active soonest first, completed newest first
- Completed shows recent months, more on request
What cancelling leaves out
The client calls off the christening cake. Mark the order cancelled and it stays in the completed list, on its day in the calendar and in the client’s history. It leaves revenue, margin, the outstanding balance and the client’s total spent. Refunded works the same for the money. Deleting removes the order everywhere, for good.
- Cancelled kept in history, out of the money
- Refunded counted as returned
- Revenue only once delivered
- Deleting cannot be undone
Not in the app
Three things payments do not track:
- When each payment came in
- How the client paid
- Reminders to the client
Common questions
Can I record a second deposit?
Yes. Enter the new total received. The partial amount is everything paid so far, not each payment on its own.
Does cancelling take the order off the calendar?
No. It stays on its day with a cancelled marker, so the day still reads as it was booked.
